Booking, Cancellation & Charter Terms

1. Nature of Service

Epic Lake Day operates on a private charter basis. Bookings secure the exclusive use of the vessel, skipper, crew, equipment, and associated services for a defined period of time. Epic Lake Day does not sell individual seats. Each booking reserves a dedicated charter slot that cannot ordinarily be resold once allocated.

2. Payment Terms

Full payment is required at the time of booking to secure your reservation.

3. Cancellations

More than 7 days before departure

  • Booking may be rescheduled or cancelled
  • A cancellation fee of 25% of the booking value applies
  • Remaining 75% is refundable

Within 7 days of departure

100% of the total booking value is non-refundable.

Same-day cancellations or no-shows

100% charge applies.

Personal circumstances including illness, injury, travel delays, missed flights, or family emergencies do not override this policy. We strongly recommend comprehensive travel insurance.

4. Rescheduling

Rescheduling requests may be made at any time. Requests within 7 days of departure are at our discretion, subject to availability, and may incur an administration fee or price difference. Changes are effective only once confirmed in writing.

5. Weather & Safety

All charters are subject to weather, lake, and operational conditions. We reserve the right to cancel, delay, or reschedule any charter for safety reasons.

If we cancel before departure, you will be offered:

  • A reschedule to the next available experience (preferred), or
  • A refund less any non-recoverable third-party fees

If we determine the charter can operate safely but you choose not to proceed, standard cancellation terms apply.

6. Vessel & Itinerary Changes

We may substitute the vessel, skipper, route, or itinerary where reasonably necessary. Such changes do not constitute a cancellation.

7. Arrival & No-Show

Please arrive at least 30 minutes before departure. Failure to arrive by departure time may be treated as a no-show. Late arrival may result in reduced charter time with no extension or refund.

8. Zero Alcohol & Drugs Policy

Epic Lake Day operates an absolute zero-alcohol and zero-drugs policy. Guests who are under the influence or not in a fit state to participate may be refused boarding without refund.

9. Guest Conduct

All guests must behave safely and respectfully. We may refuse boarding or terminate a charter without refund for aggressive, unsafe, or disruptive behaviour.

10. Medical & Physical Suitability

Guests are responsible for ensuring they are fit to participate. Please disclose any relevant medical conditions in advance.

11. Minors

Guests under 18 must be accompanied by a parent or legal guardian unless otherwise agreed in writing.

12. Unused Time

No refund for late arrival, early return, reduced participation, seasickness, or any unused portion of the charter. Once services commence, the booking is considered consumed.

13. Personal Property

We accept no responsibility for loss or damage to personal belongings. Please bring only essentials.

14. Third-Party Bookings

Bookings through third-party platforms may be subject to additional terms. Platform fees and commissions are non-refundable.

15. Force Majeure

We may cancel or reschedule due to extreme weather, mechanical issues, lake closures, or other events beyond our control. Rescheduling is the primary remedy.

16. Travel Insurance

We strongly recommend comprehensive travel insurance covering cancellation, illness, injury, and missed connections.

17. Governing Law

These terms are governed by the laws of New Zealand.
